Please read these Terms & Conditions carefully. By downloading the App, using the Website, or making a Booking, you confirm that you accept and agree to be bound by these Terms

1. INTERPRETATION


1.1 Definitions

The following definitions apply in these Terms and Conditions:

App” means the UKC mobile application available on iOS and Android.
Applicable Laws” means all laws, statutes, regulations, and codes from time to time in force and applicable to the relationship between UKC and you.

Booking” means a confirmed private hire journey booking made via the App, Website, telephone, or email.
“Cancellation Fee” has the meaning given in clause 7.
“Charges” means the fees and charges for the provision of the Services, as displayed on the App or Website at the time of booking.
“Data Protection Legislation” means the UK GDPR, the Data Protection Act 2018, the Privacy and Electronic Communications Regulations 2003, and all other applicable data protection legislation in force in the UK.
“Disruption Event” means any event causing material disruption to the transport network, including, without limitation, strikes, transport network staff shortages, severe weather, road works, national holidays, major events (including but not limited to sporting events and music events), or other circumstances with an unforeseen impact on supply and demand.
“Driver” means the licensed private hire vehicle driver assigned to fulfil your Booking.

“FBO” means a Fixed Base Operator, being a facility at an airport serving private and charter aviation.

“Force Majeure Event” means any circumstance not within a party’s reasonable control, including: acts of God; flood, drought, earthquake, storm or natural disaster; epidemic or pandemic; terrorist attack, civil war, civil commotion or riots, war or armed conflict; any law or action taken by a government or public authority; collapse of buildings, fire, explosion or accident; labour or trade dispute, strikes or industrial action; non-performance by suppliers or subcontractors; or interruption or failure of utility services.

“Fulfilment Partner” means a carefully selected third-party licensed private hire operator engaged by UKC to fulfil Bookings outside London or internationally.
“Grace Period” means the period of free waiting time offered by UKC as set out in clause 3.8. Waiting time charges apply if the Grace Period is exceeded.
“Meet and Greet Service” means the service in which the Driver meets the Passenger at a terminal, station, hotel, or venue with a name board and accompanies them to the vehicle.

“Minor” means a child under the age of 13.

“Passenger” means the person(s) travelling in the vehicle, who maybe you or another individual.
“Services” means the private hire transportation and associated services provided by UKC.
“Specialist Vehicle” means a First XL, First XXL, or Business XXL vehicle.
“Strike” means any announced rail, tube, or transport strike causing disruption to the transport network.
“UKC”, “we”, “us”, “our” means iDrive Chauffeurs Ltd trading as UK Chauffeurforce.
“Website” means ukchauffeurforce.com

“you” / “Customer” means any individual who makes a Booking or uses our Services for personal, non-commercial purposes.


1.2 Basis of Contract


1.2.1
UKC is a licensed private hire operator. UKC provides only pre-booked private hire services.


1.2.2
By submitting a Booking, you are offering to purchase Services subject to these Terms. A contract is only formed when UKC issues written confirmation of acceptance via SMS, email, App notification.

By installing the App or using the Website, you agree to be bound by these Terms.


2. YOUR ACCOUNT


2.1
To make Bookings via the App or Website, you must create a personal account. Personal accounts are for individual, non-commercial use only.


2.2
You must provide accurate, complete, and up-to-date information when creating an account. You must not register using false information or impersonate any other person.


2.3
You are responsible for keeping your account credentials confidential. Notify UKC immediately at info@ukchauffeurforce.com if you suspect any unauthorised use of your account.


2.4
UKC reserves the right to suspend or terminate your account where we reasonably believe your account has been created with false information, is being used fraudulently, or where you have materially breached these Terms.


2.5 App Licence


2.5.1
UKC grants you a personal, non-exclusive, non-transferable, revocable licence to download and use the App solely for the purpose of making personal Bookings in accordance with these Terms.


2.5.2
You must not: (a) resell or commercially exploit any part of the App or Services; (b) copy, modify, reverse engineer, decompile, or disassemble the App; (c) use automated tools (robots, spiders) to access the App; (d) introduce malware, viruses, or harmful code; (e) attempt to gain unauthorised access to UKC’s systems; or (f) give any false or misleading information or impersonate any person.


2.5.3
You acknowledge that your mobile network provider’s terms continue to apply when using the App and that you are solely responsible for any associated data charges.


2.5.4
UKC may update or withdraw the App at any time and will endeavour to provide reasonable notice of planned outages. UKC accepts no responsibility for the unavailability of the App resulting from factors outside its reasonable control.


3. MAKING A BOOKING


3.1
Bookings may be placed via the App, Website, email, or telephone. All Bookings must be placed with the Minimum Booking Notice set out in clause 3.2 below. Bookings are subject to availability and to UKC’s acceptance at its absolute discretion.


3.2 Minimum Booking Notice

The following minimum advance notice periods apply. Bookings placed with less than the required notice will not be accepted.

3.3 A Booking is confirmed when UKC issues confirmation by SMS, email or App notification. You are liable for all applicable Charges from the time a vehicle is assigned to your Booking.


3.4
Pick-up and journey times provided are estimates only. UKC will use reasonable efforts to ensure punctuality but accepts no liability for delays caused by traffic, weather, or other circumstances beyond its reasonable control.


3.5
You are responsible for ensuring all Booking information is accurate, including pick-up address, destination, passenger name, and flight number for airport transfers. UKC is not liable for any loss arising from inaccurate information provided by you.


3.6
UKC will not allow unaccompanied Minors to travel alone in a vehicle. In exceptional circumstances, and with the parent or guardian’s prior written consent, UKC may allow unaccompanied Teenagers (aged 13–16) to travel, provided you inform UKC at the time of booking. UKC may, at its discretion, decline any such Booking.


3.7 Vehicle Classes and Passenger Capacities

UKC operates the following vehicle classes. Passenger capacity limits are strictly observed.

3.8 Waiting Time and Grace Period

3.8.1 Standard Pick-Ups

For all standard pick-ups (non-airport, non-station, non-FBO), UKC offers a 15-minute grace period from the booked pick-up time. If you are in the vehicle within 15 minutes of the booked pick-up time, no waiting time charge applies. If you enter the vehicle after the grace period, for example, at 17 minutes, then the full 17 minutes are chargeable in 15-minute increments at the applicable rate.

3.8.2 Airport Pick-Ups

For airport pick-ups, UKC offers a 60-minute grace period. If you are in the vehicle within 60 minutes of the booked pick-up time (or the adjusted pick-up time with a hold-off applied), no waiting time charge applies. If you enter the vehicle after the grace period, for example, at 62 minutes, charges are applied from the 61st minute in 15-minute increments. 15-minute increments are charged at the quarter-hourly rate for each service type.

To avoid or minimise waiting time charges at airports, we offer a hold-off option, see clause 3.9.2.

3.8.3 Railway Station Pick-Ups

For railway station pick-ups, the grace period begins 15 minutes from the train’s scheduled or actual arrival time. If you are in the vehicle within 15 minutes of the train arriving, no waiting time charge applies. If the grace period is exceeded, the full elapsed time is chargeable in 15-minute increments.

3.8.4 FBO / Private Jet Charter Pick-Ups

For Fixed Base Operator (FBO) and private jet charter pick-ups, the grace period begins 30 minutes from the aircraft’s actual landing time. If you are in the vehicle within 30 minutes of landing, no waiting time charge applies. If the grace period is exceeded, waiting time is charged from the 31st minute in 15-minute increments at the applicable rate.

3.8.5 Wait-and-Return Journeys

For wait-and-return journeys, there is no grace period between stops. Waiting time between stops is charged at the hourly rate.

3.9 Airport Pick-Ups

3.9.1 Flight Tracking

For all airport pick-ups, we strongly recommend providing your flight number at the time of booking. This allows us to track your flight and amend the pick-up time to match the actual landing time, so the Driver is in the arrivals hall at the appropriate time. This can help avoid extra waiting time charges.

The Driver will be waiting for you in the arrivals hall with a UKC name board displaying your name and will accompany you to the vehicle.

3.9.2 Hold-Off Time

There are occasions when passengers may need to wait longer to clear customs and reclaim their baggage after disembarking a flight. We offer a hold-off time option, which allows you to add a buffer to your collection time at no additional charge. This can be chosen at the time of booking via the App, Website, telephone, or email.

For example, if your flight lands at 11:00 am and you request collection 30 minutes after landing, the Driver will be waiting for you in arrivals from 11:30 am. Should your flight land early at 10:50 am, the Driver will be waiting for you at 11:20 am. On top of this, our usual airport grace period (see clause 3.8.2) will apply after the adjusted pick-up time.

For all airport pick-ups, car parking is an additional cost charged at the prevailing rate. Some airports also levy drop-off charges (including Heathrow, Gatwick, Stansted, City, Luton, and Southend); where applicable, these are included in the quoted fare.

4. MEET AND GREET SERVICE

4.1 The Meet and Greet service is standard and included for all airport, rail terminal, hotel, and venue pick-ups. You only need to request it if you require a VIP airside Meet and Greet service, which is distinct and exclusively available to priority account holders travelling in Business or First Class. This VIP option carries its own separate cost.

4.2 For airport Meet and Greet bookings, the Driver will proceed to the designated arrivals hall with a name board displaying your name and will accompany you to the vehicle. UKC will monitor your flight using the provided flight number and adjust the Driver’s arrival time where possible.

4.3 Airport parking is an additional cost charged at cost price. Drop-off charges at certain airports (Heathrow, Gatwick, Stansted, City, Luton, and Southend) are included in the quoted fare where applicable.

4.4 For non-airport Meet and Greet bookings, the Driver will meet you at an agreed point inside the venue. Parking or access charges incurred by the Driver will be charged at cost.

4.4 The standard grace period for Meet and Greet bookings is 60 minutes for non-airport collections and 120 minutes from the actual landing time for airport collections, after which the Booking is treated as a no-show.

5. PASSENGER CONDUCT

By making a Booking, you agree to ensure the following rules are observed by all Passengers travelling under your Booking. Failure to do so may result in refusal of carriage and/or additional charges.

5.1 Conduct Rules

  • Passenger capacity limits must always be observed, see clause 3.7.
  • Smoking (including e-cigarettes and vapes) is strictly prohibited in all UKC vehicles.
  • No littering, eating, or spilling of liquids inside the vehicle.
  • Alcohol may only be consumed with the prior written consent of UKC. UKC and the Driver reserve the right to decline carriage to any Passenger who is, in the Driver’s reasonable opinion, intoxicated.
  • Passengers must not distract the Driver from operating the vehicle safely or cause hazardous situations.
  • Seatbelts must always be worn whilst the vehicle is in motion.
  • Passengers must not behave in an abusive, threatening, or violent manner towards any Driver or UKC employee.
  • Passengers must not conduct or facilitate any unlawful or illegal activity during the provision of a Service.
  • You must not use UKC for any unlawful or illegal purpose and must comply with all Applicable Laws.

5.2 Smoking Penalty

5.2.1 Should any Passenger smoke in a UKC vehicle, UKC is entitled to apply an automatic cleaning fee of £200 (plus VAT), charged to your registered payment method. This charge is non-refundable and is in addition to any soiling charge or other additional charges.

5.3 Vehicle Damage and Soiling

5.3.1 You are responsible for the cost of repairing any damage to, or cleaning of, any UKC vehicle caused by you or any Passenger, more than normal wear and tear.

5.3.2 In the event of soiling requiring the vehicle to be taken out of service, UKC may charge: the fare from the drop-off point to UKC’s depot or a third-party cleaning facility, plus cleaning costs and waiting charges — up to a maximum charge of £300.

5.4 Your Indemnity

5.4.1 You agree to indemnify UKC against all claims, costs, damages, losses, liabilities and expenses (including reasonable legal fees and administrative costs) arising out of or in connection with: (a) your breach of these Terms; (b) any violation of Applicable Laws; or (c) your misuse of the Website, App, or Services.

6. PAYMENT

6.1 Payment Methods

6.1.1 All Bookings must be paid for by credit or debit card via the App or Website. UKC does not accept cash payments. You must provide valid, up-to-date payment card details when creating your account. 

6.1.2 By submitting your payment card details, you confirm that the card is registered in your name and that you are authorised to use it. You authorise UKC to charge the card for all applicable Charges, including cancellation and soiling fees.

6.1.3 Charges will be applied automatically to your registered card once the Service has been completed or cancelled. Any additional charges arising after the Booking (such as parking or waiting charges) will be charged using the card details provided.

6.1.4 For non-account bookings, any additional charges arising after the Booking (such as parking or waiting charges) will be charged using the card details provided at the time of booking. If we cannot process payment using those details, you remain liable for the amount and must provide alternative payment details.

6.2 Card Security and PCI-DSS

6.2.1 UKC complies with PCI-DSS (Payment Card Industry Data Security Standard) requirements. UKC does not store your full card data on its own systems. Payment processing is handled by UKC’s certified third-party payment

6.2.2 UKC may pre-authorise your payment card prior to a Booking to confirm sufficient funds are available. Pre-authorisation does not constitute a charge and will be released if the Booking does not proceed.

6.2.3 When a new card is added to your account, UKC may conduct a £1.01 pre-authorisation check, released within 3–5 working days.

6.3 Payment Failure

6.3.1 UKC will notify you if payment cannot be collected from your registered card. If outstanding amounts are not settled within seven (7) days of notification, your account will be locked until all amounts are paid in full. UKC reserves the right to take such further action as it reasonably deems appropriate, including legal proceedings.

6.4 Refunds

6.4.1 All Charges are non-refundable except where UKC has failed to fulfil its obligations under these Terms with reasonable care and skill.

6.4.2 Any disputes regarding Charges must be notified to UKC in writing within 7 days of the date of the journey. UKC may require reasonable supporting evidence, such as booking confirmations or phone records.

6.5 Strike Charges

6.5 Fares will be 1.5 times higher during a Strike and for the following 12 hours.

6.6 Disruption Event Charges

6.6 UKC reserves the right to charge a disruption surcharge during a Disruption Event and for a period of 12 hours thereafter on all Bookings. Where a disruption surcharge is applied after a Booking has been made, you will be given the option to cancel without charge.

6.7 Unless otherwise stated, all Charges referred to in these Terms are exclusive of VAT, which shall be payable at the prevailing rate.

6.8 UKC may offer free journeys, discounts, and other credits as part of marketing promotions. Promotional credits have no monetary value and are non-transferable. UKC may remove credits if it reasonably believes they have been obtained fraudulently.

7. CANCELLATIONS & NO-SHOWS

7.1 Cancellation by You

7.1.1 You may cancel a Booking at any time via the App, Website or by email. A Cancellation Fee will apply where the Booking is cancelled within the minimum notice period for the relevant vehicle class and location as set out in clause 7.3.

7.1.2 Where the Driver arrives more than 15 minutes after the booked pick-up time, you may cancel without charge.

7.1.3 If UKC notifies you of a delay, you may cancel without charge at the time of that notification. Cancellations made more than five (5) minutes after such notification will incur the standard Cancellation Fee.

7.2 No-Shows

7.2.1 If UKC is unable to contact you or the Passenger within the hold times below, the Booking will be treated as a no-show and cancelled. 100% of the Charges, plus any applicable Additional Charges, will apply.

  • Standard (non-airport) pick-ups: vehicle held for 60 minutes from the booked pick-up time.
  • Airport pick-ups: vehicle held for 120 minutes from the actual flight landing time.

7.3 Cancellation Charges

7.4 In all circumstances where you cancel a Booking or fail to appear, 100% of the Charges shall be payable unless an exception is expressly set out in clauses 7.1.2 or 7.1.3.

7.5 Cancellation by UKC

7.5.1 If UKC cancels a Booking and has used reasonable endeavours to fulfil the service and notify you, UKC’s sole liability will be to refund any amounts already paid for that specific Booking.

7.5.2 UKC may also cancel a Booking without liability in the event of a Force Majeure Event.

8. FARES, PRICING AND ADDITIONAL CHARGES

8.1 Fares are calculated based on the vehicle class, route, and applicable surcharges. Current fares are displayed in the App or Website at the time of booking and will be confirmed in your booking confirmation.

8.2 Journeys within the M25 are priced on a fixed route between postal districts or on a dynamic mapping basis using the fastest available route at the time the Booking is made. In most cases, fares are calculated on a direct routing that does not pass via the M25. If the App, mapping software, or you direct the Driver via the M25, or if traffic conditions require an M25 routing, the fare will be recalculated accordingly and may be higher than the originally quoted price. UKC is not liable for any fare difference arising from route changes requested by you or generated by navigation software.

8.3 Journeys involving a leg outside the M25 will be priced at a minimum charge plus a dynamic mapping calculation based on the actual route.

8.4 Additional Charges

  • The following additional charges may apply in addition to the base fare:
  • Waiting time: grace periods apply by pick-up type (see waiting time clause). If exceeded, charged in 15-minute increments at the quarter-hourly rate for the applicable vehicle class.
  • Airport parking: charged at cost for all airport pick-ups where the Driver parks in the terminal.
  • Airport and station drop-off charges: applicable at Heathrow, Gatwick, Stansted, City, Luton, and Southend — included in quoted fare where applicable.
  • Tolls and congestion / clean air charges: charged at cost, shown separately on receipts.
  • Out of Area Uplift: applies where both pick-up and destination are outside the M25.
  • Additional stops: a charge applies per extra pick-up or drop-off address.
  • Soiling charge: up to £300.
  • Smoking penalty: £200 automatic charge.
  • Christmas and New Year uplift: 100% uplift on all Charges from 18:00 on 24 December to 26 December 13:00 and 31 December 18:00, 2 January 08:00 on 2 January (excluding Clean Air Charge).
  • Penalty Charge Notices (PCNs): recharged at cost plus £25 administration fee were incurred at the Passenger’s request.
  • Strike charges: fare and a half, and 24 hours after a Strike.
  • Disruption Event surcharge: applied during a Disruption Event and for 12 hours thereafter.
  • Fuel Uplift Charge: a temporary surcharge where global events cause a material and sustained increase in fuel prices. UKC will provide advance notice of the applicable rate, shown as a separate line item. UKC reserves the right to vary or remove this charge as market conditions change.

9. PARTNER BOOKINGS

9.1 Some Bookings, particularly those outside London or internationally, may be fulfilled by third-party licensed private hire operators (“Fulfilment Partners”). UKC will inform you when this applies.

9.2 UKC acts as principal in relation to you for all Fulfilment Partner Bookings. The Fulfilment Partner acts as UKC’s agent to fulfil the Service.

9.3 For international Bookings, a minimum of 24 hours’ advance notice is required. A 60-minute free waiting period applies at all international airports

10. LIMITATION OF LIABILITY

10.1 Nothing in these Terms excludes or limits either party’s liability for: (a) death or personal injury caused by its negligence; (b) fraudulent misrepresentation or any other fraudulent act or omission; (c) sums properly due and owing in the normal course of performance of these Terms; or (d) any other liability which may not lawfully be excluded or limited.

10.2 Subject to clause 10.1, neither party shall be liable (whether for breach of contract, tort including negligence, breach of statutory duty, or otherwise) for any: (a) loss of profit; (b) loss of sales, turnover, revenue or business; (c) loss of customers or contracts; (d) loss of or damage to reputation or goodwill; (e) loss of opportunity; (f) loss of software or data; (g) loss or waste of management or staff time; or (h) indirect, consequential, or special loss; arising out of or relating to these Terms, whether or not such loss was foreseeable.

10.3 Subject to clauses 10.1 and 10.2, UKC’s total aggregate liability arising in connection with the provision of Services under these Terms shall in all circumstances be limited to the Charges paid or payable by the Customer for the specific Service or series of connected events giving rise to the claim.

10.4 UKC shall not be liable for any loss, damage, expense or liability incurred because of: (a) the use of the Services in breach of these Terms; or (b) the Customer’s failure to provide complete and accurate information for a Booking.

10.5 The Customer accepts sole responsibility for ensuring adequate insurance coverage for the transit of any goods, items, or personal property. UKC cannot entertain any claim for loss of or damage to such items.

10.6 Except as expressly set out in these Terms, no implied conditions, warranties or other terms, including any implied terms relating to satisfactory quality or fitness for any purpose, will apply to the Services.

10.7 This clause 10 shall survive termination of these Terms.

11. DATA PROTECTION & PRIVACY

11.1 UKC is committed to protecting your personal data in accordance with the UK GDPR and the Data Protection Act 2018. UKC is registered with the Information Commissioner’s Office.

11.2 Personal data collected when you use the App, Website, or our Services includes your name, contact details, payment information, journey data, and location data (when enabled). This data is used to provide and improve our Services, process payments, communicate with you, and comply with our legal obligations.

11.3 UKC uses PCI-DSS certified payment processors and does not store your full card data on its own systems. All data is held on encrypted, secure servers with encrypted backups.

11.4 UKC may record telephone calls for quality assurance and training purposes. Location data is processed to facilitate booking and real-time tracking services. You may disable location services on your device, though this may limit certain features.

11.5 UKC will not share your personal data with third parties except: (a) with Drivers and Fulfilment Partners as necessary to fulfil your Booking; (b) as required by law or regulation; or (c) as described in UKC’s Privacy Policy at ukchauffeurforce.com/privacy.

12. GENERAL TERMS

12.1 Amendments

UKC reserves the right to amend these Terms at any time by posting a revised version on the Website. Continued use of the App or Website after changes are posted constitutes acceptance of the revised Terms.

12.2 Force Majeure

UKC shall not be liable for any delay or failure to perform its obligations resulting from a Force Majeure Event. UKC will notify you as soon as reasonably practicable.

12.3 Intellectual Property

UKC (and its licensors) owns all intellectual property rights in the App, Website, and all associated content. Nothing in these Terms transfers any ownership rights to you. UKC’s name, logo, and trademarks may not be used without prior written consent.

12.4 Severance

If any provision of these Terms is or becomes invalid, illegal, or unenforceable, it shall be deemed modified to the minimum extent necessary to make it valid, legal, and enforceable. If not possible, the relevant provision shall be deemed deleted.

12.5 No Waiver

Failure by either party to enforce any right or remedy under these Terms does not constitute a waiver of that right or remedy.

12.6 Third-Party Rights

No person who is not a party to these Terms shall have any rights under or in connection with them under the Contracts (Rights of Third Parties) Act 1999.

12.7 Assignment

Your rights under these Terms are personal to you and may not be assigned without UKC’s prior written consent. UKC may assign its rights to any group company or successor business.

12.8 Entire Agreement

These Terms constitute the entire agreement between you and UKC in relation to the Services and supersede all previous agreements and understandings.

12.9 Lost Property

If you leave any property in a vehicle, UKC will not be responsible for it. Where a Driver finds property, UKC will use reasonable efforts to store it for 90 days. Contact us at lostproperty@ukchauffeurforce.com with your booking reference. A reasonable charge may apply for return.

12.10 Complaints

Any complaint relating to these Terms or any Services should be raised at complaints@ukchauffeurforce.com within 30 days of the relevant incident.

13. GOVERNING LAW AND JURISDICTION

13.1 These Terms and any dispute or claim arising out of or in connection with them are governed by, and construed in accordance with, the laws of England and Wales.

13.2 The courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim arising out of or in connection with these Terms. If you live in Scotland or Northern Ireland, you also have the right to bring proceedings in the Scottish or Northern Irish courts.
